CAMRO Clearwater's clerks and records officers since 1961

Governance

CAMRO is a nonprofit membership association governed by its bylaws and its members. Everything below is a matter of record.

How the association is run

The Board

Eleven directors: six officers — president, first vice president, second vice president, secretary, treasurer and immediate past president — and five elected at large. Meets quarterly, twice in person and twice online; minutes are posted to the resources library within thirty days. A director who leaves the profession leaves the board.

Officer elections

Officers are elected by the membership at the annual meeting and serve one year, beginning at the close of the annual conference. Directors at large serve two. The first vice president does not succeed automatically — the presidency is a contested election, which is unusual among state associations and was a deliberate choice in 1976.

District directors

Elected by the members of their own district, at a district meeting, for two-year terms staggered so that six of the twelve turn over each year.

Amending the bylaws

Proposed amendments must be circulated to the membership at least thirty days before the annual meeting and carry by a two-thirds vote of members present.

The annual meeting

Held during the annual conference each spring; a second business meeting is held at Recorders’ Day. Any active member may attend, speak and vote; associate, retired and student members may attend and speak.

The agenda is fixed by the bylaws: treasurer’s report, committee reports, officer elections in election years, bylaw amendments if any have been properly circulated, and new business. Notice, agenda and minutes are handled the way the association expects its members to handle them.

Dues and where they go

Active $95 · Associate $60 · Retired $40 · Municipal rate $310 for up to four seats from one municipality. Dues run with the calendar year.

Roughly: 40% to education delivery and the Institute relationship, 25% to the office and staff, 15% to the conference and institute beyond what registration covers, 10% to legislative work, and 10% held in reserve.

The audited financial statement is presented at the annual meeting and posted with the annual reports.

Bylaws and minutes

The current bylaws, board minutes and audited financials are in the resources library.
